Privacy Policy

Last updated 1 July 2026. This policy explains what we collect, why, and the choices you have.

Snapquo ("we", "us", "our") provides quoting and invoicing software for tradespeople. You use it to build branded quotes and invoices, take deposits, and follow up with your customers. This policy covers the personal data we handle when you use our website and app, and how we keep it safe. If you have any questions, email us at support@snapquo.com.

Who is responsible for your data

For your own account and business details, Snapquo is the data controller: we decide how and why that information is used.

For the details you enter about your own customers (their names, contact details, the quotes and invoices you send them), you are the controller and Snapquo acts as your processor: we hold and process that information on your behalf so the product can do its job. You are responsible for having a lawful basis to hold your customers' details and for telling them how you use their information.

Information we collect

We collect only what we need to run the service.

  • Account details: your name, email address, phone number, and password. If you sign in with Google, we receive your name, email, and profile picture from Google instead of a password.
  • Business profile: your business name, trade, logo, brand colours, address, contact details, and any bank details you add so your customers can pay you directly.
  • Content you create: quotes, invoices, saved items, templates, line items, photos, notes, terms, and the e-signatures captured when a customer accepts a quote (including the signature image, the signer's name, and the time and IP address of signing).
  • Your customers' details: the names, email addresses, phone numbers, and addresses you add to your quotes, invoices, and customer list.
  • Payment information: subscription and deposit payments are handled by Stripe. We never see or store full card numbers. We keep records such as amounts, payment status, and the Stripe reference IDs needed to reconcile a payment.
  • Technical and usage data: sign-in activity, IP addresses and device information used for security, and quote-view tracking (when and from where a quote was opened) so you can see whether a customer has read it.

How we use it

We use your information to:

  • provide the service: create and send your quotes and invoices, take deposits, and record payments;
  • send notifications and automatic follow-ups to your customers on your behalf;
  • process your subscription and manage billing;
  • keep the service secure, prevent fraud and abuse, and diagnose problems;
  • provide support and respond to your requests;
  • meet our legal, tax, and accounting obligations.

Under UK data protection law, we rely on: performing our contract with you (to run the service and process payments); our legitimate interests (to keep the service secure and to improve it); legal obligation (to keep financial records); and, where relevant, your consent (for optional features you switch on). We do not sell your data, and we do not use it to train AI models.

Cookies

We use a small number of strictly necessary cookies to keep you signed in and to protect your account. These are essential to the service and cannot be turned off while you are logged in. We do not use advertising cookies.

Who we share it with

We share data only with the trusted providers that make the product work, and only as far as each needs to do its job:

  • Stripe: payment processing for subscriptions and customer deposits;
  • Supabase: sign-in, our database, and file storage for your logos, photos, and documents;
  • Resend: sending quote, invoice, and account emails;
  • Our hosting provider: running the website and app;
  • Google: only if you choose to sign in with Google;
  • An AI provider: only if you opt in to AI quote drafting using your own key.

Each provider handles your data under its own terms and applicable law. We may also disclose information if required by law, or to protect our rights, users, or the public.

International transfers

Some of our providers are based outside the UK and the European Economic Area. Where your data is transferred abroad, we rely on appropriate safeguards, such as an adequacy decision or standard contractual clauses, so that it stays protected to the same standard.

How long we keep it

We keep your data for as long as your account is active. When you close your account or ask us to delete your data, we remove or anonymise it, except where we must keep certain records to meet legal and accounting obligations. In the UK, financial and transaction records are typically retained for up to six years.

Deleting your account

You can delete your account yourself, at any time, without contacting us. In the mobile app, go to More → Delete account. On the web, go to Settings → Business profile and use Delete my account. We ask you to confirm first, because it cannot be undone.

Deleting your account permanently removes:

  • your login, so the email address can no longer sign in;
  • your business profile, branding and settings;
  • every quote and invoice you have created, and their line items;
  • your customers, price book and notes;
  • your payment records, notifications and follow-up reminders;
  • images you uploaded, such as your logo and job photos.

Any active subscription is cancelled as part of the deletion, so you are not billed again. Deletion is immediate and we cannot recover the data afterwards, so export anything you need first.

Two things do not disappear straight away. Payments you have taken through Stripe remain with Stripe, who are a separate data controller and keep transaction records to meet their own legal obligations. And where the law requires us to keep financial records, we retain the minimum needed for that purpose, as described above. Documents you had already sent to a customer may also still exist in that customer's own email.

How we protect it

We encrypt data in transit, store passwords in hashed form, restrict access to your data to what is needed to run and support the service, and encrypt sensitive credentials at rest. No system is ever completely secure, but we work to protect your information and to respond quickly if something goes wrong.

Your rights

You can ask us to access, correct, export, delete, or restrict the use of your personal data, and you can object to certain processing. You do not need to ask us to delete your account: you can do it yourself from the app or the web, as described above. For anything else, email us at support@snapquo.com and we will handle it for you. We may need to verify your identity first, and we will respond within the time required by law.

If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

Your customers' data

If you enter a request to access or delete a customer's details, and that customer is one of your own clients, we will act on your instructions as your processor. If a customer of yours contacts us directly, we will refer them to you as the business responsible for their data.

Children

Snapquo is a business tool and is not intended for anyone under 18. We do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. When we make a material change, we will update the date at the top of this page and, where appropriate, let you know in the app or by email.
